  New features  
Booking Board
TCM introduces a new screen called the Booking Board which is used to oversee the allocation of TCM users or Assets, or even Contacts in the database (if you are a doctor booking appointments for patients for example).

To access the Booking Board click the drop-arrow adjacent to the To-Do list icon in the TCM Taskbar and choose Booking Board from the menu.

When you open the Booking Board for the first time you should see the TCM users listed along the top of the screen and dates down the side. Imagine you wanted to use the Booking Board to plan staff holidays. If you want to book yourself a weeks holiday in August simply drag over the area you wish to book in your 'column' and then enter details of the booking in the Booking Details form.

If you prefer an alternate view, click the Flip button to display the names down the side and dates along the top row.

Note that the Booking Board is currently independent of the Diaries. If you make a Booking it does not currently show through in the Diary, and vice-versa. Another limitation of the Booking Board at present is that you cannot move a booking once you have entered it, you must delete it and re-enter it. The editing and moving of bookings will be more friendly in the next release.

  To-Do Cacheing  
    The CSM Big Board and associated job boards can take some time to appear if you are displaying additional job information such as related Asset or Company details. To speed up the display of jobs we have introduced a cacheing system which means that the lists will appear instantly but will be loaded from cache and so might not be bang up to date. TCM displays above the list the date and time of the cache, and you can refresh it on demand or each time TCM opens or closes.

  Batch Printing  
    TCM's Write a Letter feature now supports Batch Printing, or Print Queues, without requiring additional printer control software from other vendors. Within TCM you can set up any number of Batch Queues; at the most basic level you could simply have one queue that contains all the printing yet to be done, or you could have one queue for each printer, or one queue for each type of letter (those requiring letter-headed paper and those not, for example). By queueing your print jobs you are able to do all the printing at once, and you can also reprint old print jobs if there's a problem with the printer - which is something you can't do if you print letters on demand.

Each time you use Write a Letter and choose to Print the letter from within TCM, it will direct your letter to the relevant queue (which you set on a per-letter basis). By default, for backwards compatibility, TCM will simply print your letters direct to the printer bypassing the queues.

Note that if you print from your Word Processor, TCM's print queues will be bypassed. This option only applies if you choose to print your letters from TCM.

  Extra e-mail display options  
    When you download and view e-mails from other people you will now be able to see in-line images (such as company logos or graphics) that have been attached to the e-mail, so that the message will appear exactly as the sender intended.

To go hand-in-hand with this improvement are some new security features that will go some way towards protecting you from malicious e-mails. E-mail messages can be displayed in one of two ways; either in plain text (no fonts, colours, formatting or images) or in rich text (also called HTML e-mails, they can contain all kinds of formatting and can even look like complete webpages). If you always view e-mails as plain text then you have nothing to worry about in terms of malicious scripts being run or popup messages appearing. However, HTML e-mails support all the same functions as your web browser and can activate scripts, display messages, open additional browser windows, even send your computer's IP address back to the original sender of the message by simply displaying an image.

By default TCM will block popup messages that are triggered by HTML e-mails, but by default it will still run scripts and display remote images because many e-mails require them in order to appear properly. You now how the option in TCM's Setup to disable these features on a per-account basis if you feel that they present a loophole in security. You can even block HTML e-mails completely from being displayed in TCM - in which case it will display just the plain text version of the e-mail.

Note that these security features only apply to e-mails that you download after installing this Service Pack.

  Notes  

  Compatibility with Lotus WordPro  
TCM's Write a Letter feature is now compatible with Lotus WordPro. Previous versions of TCM would leave inverted commas around the merge fields. Note that we have still experienced some problems with WordPro regarding certain characters in the folder name in which the letters are stored. It doesn't seem to like long filenames or certain characters such as dashes, underscores or spaces. If you experience problems, try using very short folder names to store your letters, and short letter names (8 characters or less).

  New wording on the default mail-merge document  
When you create a new document in the Write a Letter area of Setup, the default document now contains helpful information regarding how to access the mail-merge options of your word-processor in the event that they don't automatically appear. Instructions are included for Word and WordPro.

  New 'Search' filter on the CSM Big Board  
You can now set the default Filter on the CSM Big Board to Search which means that when you go to view the Big Board it doesn't display any jobs but asks you to enter a job number. It will then display all jobs that match that number. This feature has been added to speed up and simplify the Big Board for users who know which jobs they are dealing with and just want to home in on them directly.

  Remember where you copied an Attachment to  
When you click the Copy To link for an attachment, the default target folder is the e-mail inbox folder. If you choose a different location and then go to copy another attachment, TCM now defaults to the folder you just specified. This folder is remembered even if you close TCM. You are also now asked for confirmation if you are about to overwrite an existing file of the same name.

  Ability to send e-mails with a blank message  
In previous versions of TCM you were prevented from sending e-mails that had no message - you could only send them to the Draft outbox, since it seemed logical that if you were sending an e-mail you'd want it to contain some kind of message. However, you can now send an e-mail with no body message if you wish.

  Bug fixes  
  Errors in Web Lead Management Wizard  
Two errors have been fixed in the Web Lead Management wizard. The first occurs if you choose a source e-mail that has no body message, the wizard gives Error 9 Subscript out of range at step 5.

  Incorrect decoding of attachments that have no file extension  
If TCM attempts to decode an email containing an attachment that does not have a filename extension it will name the file untitled.txt even if the attached file does actually have a name, even though that name does not have an extension.

  Write a Letter / MailMerge Wizard problems with Word XP  
Letters created using Word XP do not mail-merge correctly. This is because Word XP includes additional field information for each merge field that confuses TCM as to the actual name of the field. This problem does not affect documents created in versions of Word prior to Office XP, even if you are now using Office XP. It only affects new documents created in Word XP.

  Printing in some screens prints the TCM navigation buttons instead of the document  
When you click the TCM Print icon, TCM sometimes prints the navigation buttons rather than the main document that you intended. This only occurs in screens where three frames are used to display HTML documents, such as Jobsheets in the Diary screen, or job information in the To-Do screen.

  Notify-Me! menu does not disappear  
If you right-click the Notify-Me! icon in the System Tray you get a pop-up menu, however this menu does not disappear when you click another application and can stay on screen until you restart Windows.

  Error 400 - Form already displayed, can't show modally in Notify-Me!  
If the Notify-Me! module displays a reminder and you click the Open TCM option, you get Error 400 Form already displayed, can't show modally.

  Using coloured text does not appear correctly in e-mails  
If you change the colour of a word in an e-mail you may find that all text from that point onwards remains that same colour. This is because the default font colour (black) is not defined in the colour table and so TCM reverts back to a non-existent font colour and the result is that the font colour does not change.

  Two 'Message' buttons appear on Outgoing emails  
If you reply to an email that contains HTML embedded in the body of the original message, TCM will display the HTML section as being the main reply text instead of the actual reply, and it will also show two Message buttons above the event.

  Font formatting around mail-merged fields is lost  
If you use a font for your mail-merge letters that is different to the default document font (usually Times New Roman) then TCM will revert back to the default font when it inserts field data into your mail-merge documents.

  Notify-Me! pops-up behind the Windows Taskbar if it's Always Visible  
If you set the Windows Taskbar to be always visible then you may find that the Notify-Me! popup reminder box appears behind the Taskbar. This does not happen on every machine or in every operating system, it seems to be a problem with Windows itself, but the Notify-Me! module now takes the height of the Taskbar into account when positioning the popup window. This only applies if your Windows Taskbar is aligned along the bottom edge of the screen.

  Linking a document with same name but different extensions fails  
If you link a document called (for example) LETTER.DOC to a folder and then later try to link a document called LETTER.XLS to the same folder TCM will either hang or give an error report and fail to link the file. This is because TCM tries to use the original document name (in this case LETTER) as the event name but falls into trouble because the name already exists. It is then supposed to generate a unique filename but it's at that point where it fails.

  Linking causes Archive folders to appear in random places  
When linking via the Linking Screen, TCM will create an Archive folder in whichever folder Windows is currently pointing to rather than the designated Archive folder. Generally this means that an Archive may appear for no reason in the root of the drive holding the other TCM paths. If this has occured on your system you can generally over-copy the misplaced folders over the proper TCM Archive to keep it up to date.

  Phoning a Company displays all phone numbers twice  
If you call a Company rather than a Contact at a Company, TCM displays all phone numbers for the Company twice.

  Import Wizard - Error 424 Object required in final step  
The Import Wizard will report error 424: Object required for each record it tries to import if there are no existing Index files in TCM. This error does not occur if you have added at least one record to TCM since installing. This problem is now fixed, the Import Wizard creates the necessary Index files if they do not already exist.
